Without tacto
VEMAG wanted to develop Procurement from an operational function into a modern, AI-supported control unit. One of the central requirements was the optimization of key purchasing figures through intelligent analyses and the automation of recurring processes with the help of AI agents in order to reduce administrative effort and leverage savings potential in a targeted manner.
The first step focuses on systematically analyzing B and C parts, which often act as hidden cost drivers. AI-supported evaluations are intended to make price structures more transparent, identify deviations at an early stage and derive clear recommendations for new quantity contracts or adjusted batch sizes.
In addition, communication with suppliers will be more centralized and supported by automated workflows. Sophisticated coordination and approval processes, which were previously time-consuming and error-prone, will be simplified and accelerated by intelligent agents. The result is a purchasing system that sustainably combines transparency, speed and savings.
As part of the joint transformation with Tacto, it was decided to comprehensively automate the procurement processes, consistently use AI-supported analyses to identify and realize potential savings and make decisions based on a uniform, reliable database. On this basis, Procurement is to be enabled in the long term to proactively realize savings and measurably increase its own value contribution.
With Tacto
With the "Procurement 2027" strategy, VEMAG is pursuing the goal of consistently developing Procurement into a modern, AI-supported organization. Operational routines are to be increasingly taken over by intelligent agents, while the procurement team focuses more on strategic decisions and value creation.
The central basis for this transformation is Tacto's Procurement Intelligence Execution System, which automatically combines order, price and invoice data and evaluates it using learning algorithms. This creates a consistently intelligent data flow that systematically identifies potential savings and makes the impact of individual cost levers transparent.
The core of the solution is the integrated Spend Intelligence, which acts as an early warning system for Procurement : it identifies price outliers, analyzes deviations in price and quantity trends and provides buyers with specific recommendations for action in order to achieve optimal negotiation results.
This AI-based transparency has already enabled VEMAG to achieve savings of over €430,000 - particularly in areas with high transaction volumes and many B and C parts that previously received little attention. Today, the AI agents support the team in optimizing quantity and contract structures in a targeted manner, identifying scope for negotiation and implementing measurable savings.
As a result, Procurement is increasingly developing into a proactive, intelligent organization that not only reacts, but also independently identifies, evaluates and realizes potential savings - data-based, AI-supported and strategically effective.
Results achieved
>430,000 € cost savings in 8 months
122,919 € saved only through improved negotiations
By winning the BME Award 2025 for innovative purchasing organizations, VEMAG confirms its pioneering role in the digitalization of industrial procurement
"Tacto's Spend Intelligence provides excellent transparency regarding the quantity and price trends for B and C parts. By recognizing these conspicuous components and the resulting requests for graduated prices as well as the change in batch sizes and the partial conclusion of new quantity contracts, we expect to save more than 430,000 euros in 2024."
